6. Who We Share Data With
We only share personal data with trusted providers who help us run our website and platform. These may include:
- Database and authentication infrastructure providers
- Application hosting and deployment providers
- Content delivery and integration middleware providers
- Email and communications providers
- CRM and customer service providers (contact details, namely name and email, of staff, relatives/authorised users, and trial prospects, where applicable)
- Push notification delivery providers (for users who choose to enable push notifications on the Platform)
- Analytics providers (within the logged-in platform only)
A full, up-to-date list of our specific sub-processors is available to our care provider customers under the Data Processing Terms of their Vivacare Subscription Agreement.
Where your organisation uses certain optional integrations (for example, with your own separately-contracted care management or wellbeing software), your organisation directs the sharing of relevant data between your own systems as part of enabling that integration. We are not a party to your organisation’s agreements with those providers. We may relay that data through our own infrastructure and integration middleware providers, solely to enable the integration.
These processors operate under UK GDPR-compliant agreements.
We do not sell personal data.
7. International Data Transfers
The core platform data, including resident-related information, photos and activity records, is stored in UK-hosted database infrastructure (London region), and our application’s server-side processing is also configured to run in the London region. Some supporting services we use, such as email delivery, customer relationship management (which holds contact details such as names and email addresses), push notification delivery, analytics (within the logged-in platform only), content delivery and integration middleware, may involve processing outside the United Kingdom, including in the United States. Where this occurs, we rely on:
- UK adequacy regulations;
- Standard Contractual Clauses (SCCs); or
- The UK Extension to the EU-US Data Privacy Framework, including the relevant provider’s certification under this framework, or any equivalent successor mechanism
to keep data protected. We monitor the validity of the applicable transfer mechanism and will implement alternative safeguards where required by law.
8. Data Retention
Website Visitors
We retain enquiry and demo request data for up to 2 years from the date of your enquiry, unless:
- You ask us to delete it
- We no longer need it
- We are required to delete it by law
Because we do not use analytics cookies or tracking tools on the public website, no analytics data is retained for website visitors.
Platform Users
For logged-in users of Vivacare, we retain:
- Usage data
- Activity logs
- Uploaded content
- Communications
- Resident information (via care providers)
for as long as the relevant care provider’s subscription is active, in order to provide the service. Upon termination or expiry of a care provider’s subscription, this data is available for export for 30 days, after which it is securely deleted from our systems and those of our sub-processors, unless we are legally required to retain it for a longer period.
Analytics within the platform are retained in accordance with our internal policies and contractual agreements with care providers.
